November 21 Steering Committee Meeting Minutes

On the evening of November 21, 2013, the Eastside Hill Steering Committee at Our Saviors Lutheran Church.

The meeting began with a discussion of the need for timely meeting minutes to be posted to the Eastside Hill website.  Additionally, there was comment on the desire for the Associations By-Laws to be posted on the website.  Mark Wesenberg will deliver the most recent and ratified by-laws to Mike Paulus, so that they may be posted.

Mark Ruddy reported that there is a $25 annual fee to participate in the Chippewa Valley Time Bank (CVTB).  Sally voiced a concern that we would be able to supply volunteers to projects.  Laura mentioned that at this moment, the CVTB has more volunteers than it has projects.  Mark Wesenberg moved that the association pay the fee and join for one year.  Lynn seconded the motion.  The vote carried.  Mark Ruddy is in charge of the application and will arrange payment.

Conversation followed concerning the prairie garden maintenance project.  Our Saviors sent 27 volunteers to help remove spotted knapweed.  Mark Wesenberg, having spoken to the city forestry dept. said the schedule for extermination of invasive trees into the prairie garden is weather dependent.  The chemical application must be coordinated with the cutting of the trees for the best result.  A class and exam is required for the certification to apply the chemical and the cost for the class is $80.  Mark W. will check into the timing of the class.  Sally moved that we vote to cover 100% of the cost for him to become certified.  Shannon was the second.  The vote was unanimous.

Maintenance of the perennial garden and the appointment of a garden coordinator was tabled until Spring.

The Eastside Hill Sign Design Contest was the next topic.  The winning design will be placed at the intersection of Hastings Way and Main Street. Launching the contest was tabled until Spring

Mark Ruddy spoke on behalf of the Ad Hoc Bulletin Board Committee (Mark, Gina, Dawn).  The boards are located in the main entrance of Mega East and in Boyd Park.  We are able to use the money received in a grant for neighborhood signage. Mark W. moved that we use up to $50 (reimbursable from the grant) for the production of posters that will be used in both locations.  Mike seconded the motion and it passed without opposition.  A neighborhood photo contest will be advertised on both boards, on the website and also on our Facebook page.

Gina Klages wanted to speak on behalf of a street mural project meant to calm traffic, but was not able to attend.

Mark Ruddy requested that an ad be placed on the website enabling interested neighbors to purchase compost bins that retail for $100 for $50.

Shannon gave the following Treasurer’s Report:
Checking Account Bal.:  $352.25
Petty Cash: $107.47
Check from City for deposit: $104.50
Total: $564.22

Shawn Brunner has indicated that he will be vacating his position on the steering committee.  The committee offered Mark Ruddy the post, and Mark accepted taking Shawn’s place to complete his term.

Lynn offered to serve as Vice President/Secretary.  Shannon offered to remain as Treasurer.  The committee voted and accepted them.

Mike indicated that he would prefer to involved in the website and not continue as president.  Mark W. moved that we table the presidency until the January meeting.  The motion was seconded and the vote carried.
